What is the first thing that comes to mind when you think project management tools?
Do you think expensive software with all the bells and whistles?
I thought so.
While those software packages exist and have their place in the industry, it is not always necessary to spend a lot of money and time to accomplish your simple tasks and project management goals.
What many don’t realize is that there are some basic tools right at your fingertips that you can readily implement for your task management needs.
In fact, the tools I highlight in this article are either free or included within a software package you’re likely already using.
It is not always necessary to invest all of your budget into software when you have everything you need right at your fingertips.
Yes, Google. Specifically Google for Business offers a comprehensive platform that allows you to integrate file storage, document sharing, email, calendar sharing and even allows you to set up a project website. G-Suite offers a host of services to small business owners and small companies at minimal cost.
The email system that can be the cause of a lot of anxiety (too many emails!) can actually be the source of better organization and better task management. If you are on the Microsoft Office platform, you’re likely using Outlook as your email resource. Outlook offers over and above simply sending emails. For example, did you know that Outlook has time tracking? How valuable is this feature when managing daily project management tasks? You can also create and assign tasks within Outlook, a feature most don’t even realize exists.
The simplicity of Evernote fools many into thinking it is nothing more than a note taking application which is what it was originally designed for. But it is capable of so much more! You can streamline your notes and make them searchable and Evernote has a feature that allows you to build lists within your notebook to manage. Users also have the ability to set up reminders and due dates for your tasks to keep you on schedule for project completion.
Lastly, Evernote allows you to collaborate with your team by sharing notebooks with other people on your team and features a chat function built within the platform to allow you and your teammates to communicate about the tasks you’re working on together.
Another gem within the Microsoft Office Suite is OneNote. Similar to Evernote, OneNote has many similar note taking features. It allows you to customize your views to create a look and feel that will compliment your workflow. With OneNote, you are in charge of creating the organizational strategy and flow that will work with the tasks and projects in your queue.
As you can see, you don’t have to break the bank to start utilizing some pretty powerful task management tools. You likely already have these applications in your arsenal but just weren’t aware of everything they brought to the table.
